If you are a master of organization, a wizard with schedules, and the calm in the middle of a fast-paced storm, join our team as an Executive Associate to act as the strategic partner to our Head of Office.

The Executive Associate (G-6) provides end-to-end executive, administrative, and operational support to the Head of Office and the section, ensuring smooth day-to-day operations. The role manages high-volume communications and scheduling, coordinates travel and logistics, supports basic operations and office management, assists with monitoring budgets and grants in VISION, and helps facilitate procurement and contracting processes in line with UNICEF policies. The Executive Associate also represents the supervisor by initiating and following up on administrative actions, coordinating responses, and ensuring deadlines are met.

Key responsibilities include:

  • Manage incoming/outgoing correspondence, emails, and calls; draft routine responses and coordinate sensitive inquiries.
  • Maintain the supervisor’s calendar, arrange meetings, prepare briefing materials, and organize official travel.
  • Provide operational and office support, including event and conference logistics, leave/absence monitoring, and office supplies/equipment inventory management.
  • Support budget and grant monitoring (e.g., revisions, expenditure tracking, funding utilization), maintain control records, and process relevant transactions in VISION.
  • Support procurement and contracting (PCA/SSA/consultants/partners), maintain vendor/partner rosters, and ensure documentation and processes align with UNICEF guidance.

  • Education: Secondary Education in Communications,Operations,Secretarial Services,Arts/Humanities,Business,Languages, Secondary Education, Technical Courses, University Courses and any other related fields.A Bachelor or equivalent (First Level University Degree) from a recognized academic institution in a field relevant to the position may replace 3 years of related work experience. Otherwise, the selection will be canceled.
