The European Chamber’s Membership and Events Coordinator plays a key role in coordinating / managing the activities and services for the Chamber’s Shanghai Chapter Events and Membership Team. This role will support the event activities in event planning and execution, generating content for the Chapter’s digital media as well as national media (EURObiz), and support membership activities in membership renewal and communications.

Reporting line: Senior Marketing & Events Manager, and Senior Membership Manager in Shanghai.

Event Responsibilities:

ž   Support in developing and implementing Shanghai conferences and events

ž   Support research, planning and administrative duties prior to events

ž   Support communication with members and speakers in relation to events

ž   Maintain event backend database up to date and draft content for digital channels

ž   Support the preparation of event information for internal reporting and other presentations

ž   Make the RSVPs list for each event based on membership status and do the event registration

ž   Upload attendees list and speakers’ slides, issue invoices and draft event recaps

Marketing Responsibilities:

ž   Event Newsletter preparation and promotion maintenance

ž   Collect/Upload news and job ads from AC/members for the Chamber’s magazine, EURObiz, the website, WeChat and Shanghai Focus Newsletter

ž   Prepare the weekly Shanghai Focus newsletter and WeChat posts content

Membership and Advisory Council Responsibilities:

ž   Manage the membership renewal campaign for Shanghai Chapter.

ž   Maintain membership relations and respond to members’ requests received on a timely basis

ž   Manage membership renewal procedure including processing PO, filling in vendor forms, issuing invoices and drafting agreements and update

ž   Update membership details and users upon members’ requests

ž   Support new membership recruitment, member receptions/CEO Roundtable/Advisory Council events execution

Sponsorship and Project Responsibilities:

ž   Facilitate the communication with sponsors/partners

ž   Implement the ad hoc sponsored events and projects

ž   Keep track of the projects timeline

ž   Support the customised packages for potential partners.

Other duties as required by the employer.

Skills & experience

·      Native Mandarin speaker with outstanding English speaking and writing skills. Other European languages are a plus.

·       Good knowledge and use of Excel.

·       Strong knowledge and interest in the business environment.

·       Self-starter, confident, diplomatic, modest, service oriented, people person.

·       Willing to travel occasionally.

·       Excellent project management and time management skills.

·       Outstanding verbal and written communicator.

·       Strong planning and analytical organisation skills.

·       Responsible, professional, open-minded, and strategic thinker.

·       Professional appearance and demeanor.

·       University degree in related field ((international relations, business, communications, marketing, economics, political science, languages etc)
