The Global SDGs and Leadership Development Center is a UNITAR-affiliated platform that catalyzes cross-sector collaboration to accelerate the Sustainable Development Goals (SDGs). Our portfolio ranges from global academic networks and digital-economy city initiatives to youth-led innovation and multi-stakeholder events. We are looking for a motivated Project Assistant to join our Beijing team and provide day-to-day support that keeps our SDG projects running smoothly and efficiently.
Position: Project Assistant
Employment Type: Full-time
Duty Station: Beijing (primary)
Salary: 8,000–12,000 RMB/month (pre-tax)
Start Date: As soon as possible
Travel Requirement: Occasional domestic travel; international travel may be required once or twice per year
Key Responsibilities
1. Project Support & Coordination
• Assist in preparing work-plans, timelines, and logistical arrangements for SDG projects (capacity-building workshops, youth innovation bootcamps, research webinars, climate roundtables, etc.).
• Track project milestones and maintain up-to-date dashboards on Asana/Trello; alert team members of upcoming deadlines.
• Prepare briefing packs, meeting agendas, and slide decks under the guidance of Project Officers and Managers.
• Take accurate minutes during internal and external meetings and circulate them within 24 hours.
2. Stakeholder & Administrative Liaison
• Serve as first-point-of-contact for participants, speakers, and partner organizations; manage email inquiries and calendar invitations.
• Maintain stakeholder contact lists and CRM records; update bios and headshots for event programs.
• Coordinate logistics for online and offline events: venue booking, catering, name badges, translation equipment, and virtual-platform set-up.
• Arrange domestic travel and accommodation for team members and guests; process reimbursements and petty-cash records.
3. Research & Content Assistance
• Conduct desktop research on SDG indicators, local-government policies, funding opportunities, and best practices; compile 1–2 page briefs.
• Support the Communications team by sourcing photos, quotes, and impact stories from projects; draft social-media captions and newsletter blurbs.
• Proofread bilingual (English–Chinese) documents to ensure consistency and accuracy.
4. Monitoring, Evaluation & Reporting Support
• Collect quantitative data (attendance, survey responses, budget lines) and qualitative feedback; input into Excel/Google Sheets templates.
• Assist in populating quarterly donor reports and infographics using Canva or PowerPoint.
• Maintain orderly project files on SharePoint/OneDrive, ensuring version control and GDPR-compliant data handling.
Requirements
1. Education
• Bachelor’s degree (or final-year internship) in international development, public policy, environmental studies, business administration, or a related field.
2. Experience
• 0–2 years of relevant internship or work experience in project coordination, event management, or administrative support within NGOs, UN agencies, or corporate CSR departments.
• Demonstrated experience organizing meetings/events or supporting multi-stakeholder projects is an advantage.
3. Knowledge & Familiarity
• Basic understanding of the SDGs and China’s national/sub-national development priorities.
• Awareness of monitoring & evaluation concepts (indicators, log-frames) is a plus.
4. Language Proficiency
• Excellent command of English (written and verbal) for note-taking and email correspondence.
• Native or near-native proficiency in Chinese (Mandarin), with ability to translate short documents between English and Chinese.
5. Soft Skills & Tools
• Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
• Strong interpersonal skills and a can-do attitude when working with multicultural teams.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and collaboration tools (Zoom, WeChat Work, Trello/Asana).
• Willingness to work occasional evenings or weekends during peak event periods.
