Job title: Administration and Project Assistant
Duty Station: Chengdu, China
Reports to: Country Manager
Job Description:
Administration
1.Support all the purchasing (office equipment and project products)in AIPF China Office
2.Explore contract agencies who have the ability to produce the products needed for programs (books, videos, voice over, traffic signs, flyers, commercial billboard, etc)
3.Efficiently Communicate the needs with agencies and get quotations for comparison ;
4.Negotiate the contract with the agencies including deadlines, qualities, prices and other items;
5.Follow up the qualities and deadlines
6.Keep record of each single receipt happened ;
7.Assist to do monthly financial report of China office;
8.Offer admin support for the daily operation of AIP Foundation of China Office
9.Support design, layout, editing and translation of all AIP material
10.Maintain and update the AIP Foundation China Program database and project files (both "hard copy" and "soft copy”);
Project Management
1.Take photos and write updates for major events in the field;
2.Visit the project sites with the country manager when there is a need;
3.Write visit report for each visit to summarize the progress of project and plans talked with the stakeholders;
4.Build the project management mindset gradually with the filed experiences;
5.Support the admin work for each meeting or project event happened in CD or in the field;
Training and Education
6.Learn and Familiarize with the road safety curriculums implemented in China;
7.Support the admin planning and logistics of the TOT training delivered by Road safety experts;
8.Participate in the TOT workshop on road safety and build the capacity to assist training the teachers on implementing Road Safety curriculum in the field;
9.Perform other job-related duties as requested;
Qualifications
1.Bachelor’s degree majored in social work, business, public administration, English or other majors related;
2.At least one year’s work experience in related areas. New graduate with excellent performances will also be considered;
3.Strong interest in this position and in the NGO sector, self-motivated with little supervision;
4.Proficient English in writing and speaking;
5.Basic computer skills on MS system and ability to do layout or design of communication products will be an benefit for consideration;
6.Abilities to produce accurate documents in a well-designed and attractive format.
7.Excellent interpersonal skills with the ability to work cooperatively, tactfully and diplomatically with a culturally diverse group of people.
8.Demonstrate a high degree of honesty and integrity.
9.Excellent organizational skills including strong attention to detail;
Duration of the position
The position is dependent on funding.
The contract will be signed as one year with a probation period for three months. A contract extension may be possible depending on performance, need and funding.
